End-to-end exhibition delivery for an international project

The Challenge

MVC contacted us while preparing for theirparticipation at Busworld Europe 2025 with a clear goal: to create a strong andprofessional presence that would make their brand stand out in a verycompetitive international environment. They were not just looking for a stand,but for a partner who could manage the full project from start to finish.

The project was complex due to itsinternational nature. Different MVC teams, especially from Germany and Egypt,were involved, each with their own ways of working and expectations. Our Approach

We started by designing a custom exhibitionstand that reflected MVC’s brand and created a strong visual impact. The goalwas not only to attract visitors, but also to create a space where meetings andconversations could take place in a professional way. The stand was thereforedesigned to be both attractive and practical.

At the same time, we took responsibility forthe overall coordination of the project. We acted as the main point of contactbetween MVC teams, suppliers, and event organisers. This helped avoid confusionand ensured that everyone was working towards the same objective. Managingcommunication between different countries and cultures was important to keepthe project moving forward smoothly.

Logistics was a key part of the project. Wemanaged all materials and ensured that everything arrived on time and wascorrectly installed. Because some elements were high in value, we usedstructured inventory lists to keep track of all items and reduce the risk of lossor theft during the event.

We also handled the staffing of the stand. Amultilingual team was selected to match the international audience of theevent. Each team member was properly briefed about MVC, their products, andtheir key messages. This ensured that all interactions with visitors wereclear, professional, and consistent.

In addition to the stand, we organised MVC’spress conference. This included planning the setup, managing timing, andcoordinating with media representatives. Careful preparation ensured thateverything ran smoothly from the first day of the event.

Execution

The project was delivered on time, with thestand fully ready for the opening of Busworld Europe 2025. During the event, weremained on site to manage operations, support the staff, and solve any issuesthat appeared. This allowed the client to focus on their objectives while wehandled the operational side.

Results

MVC achieved strong visibility during theevent, supported by a stand that attracted many industry professionals. Thespace allowed for effective meetings, networking, and media interactions.
